About These Terms
Welcome to Tourney HQ (the "Service", "we", "us", or "our"). These Terms of Service, together with our Privacy Policy and the other policies referenced below (collectively, the "Terms"), govern your access to and use of the Tourney HQ website at tourneyhq.ai and the Tourney HQ mobile application (together, the "Platform").

By creating an account, accessing, or using the Platform, you agree to be bound by these Terms. If you do not agree, do not use the Platform.
Eligibility & Accounts
You must be at least 13 years old to create an account. If you are between 13 and 18, you may use the Platform only with the involvement and consent of a parent or legal guardian. If you register as a Tournament Director or otherwise handle payments through the Platform, you must be at least 18 years old and legally able to enter into binding contracts.
You agree to provide accurate, current, and complete information when you create an account, and to keep that information up to date. You are responsible for safeguarding your password and for any activity that occurs under your account. You must notify us promptly at support@tourneyhq.ai if you suspect any unauthorized use of your account.
We may refuse, suspend, or terminate any account at our discretion, including for violations of these Terms.
User Roles & Responsibilities
The Platform supports three primary user roles, each with specific responsibilities:
Tournament Directors create, configure, and manage tournaments. Directors are solely responsible for the accuracy of tournament information they post (dates, locations, fees, rules, refund policies), for collecting and remitting any applicable taxes on tournament fees, for ensuring they have the legal right to host the events they list, and for complying with all laws and regulations applicable to organizing youth or adult sporting events in their jurisdiction. Directors are independent organizers; they are not employees, agents, or partners of Tourney HQ.
Coaches register teams for tournaments, upload required documents, and pay applicable entry fees. Coaches are responsible for the accuracy of all information and documents they upload, for obtaining any required consents from players and (for minors) their parents or guardians before uploading any personal information, photographs, or other content involving them, and for adhering to the rules of each tournament they enter.
Viewers may browse tournaments, brackets, and results. Viewers are responsible for using the Platform only as intended.
Acceptable Use
You agree not to use the Platform to:
• violate any applicable law, regulation, or third-party right; • harass, threaten, defame, or impersonate any person; • upload, post, or transmit any content that is illegal, harmful, abusive, harassing, defamatory, obscene, or sexually explicit; • upload content involving minors without verifiable consent of a parent or legal guardian; • upload, post, or transmit any content for which you do not hold the necessary rights or permissions; • upload viruses, malware, or any code intended to disrupt the Platform; • reverse engineer, decompile, scrape, or attempt to gain unauthorized access to the Platform or any related systems; • use the Platform to conduct fraudulent transactions or to launder funds; • use the Platform to send unsolicited communications (spam) to other users.
We may remove any content and suspend or terminate any account that we believe, in our sole discretion, violates these Terms.
Your Content & License to Us
You retain ownership of the content you upload, post, or otherwise submit through the Platform, including team rosters, photographs, documents (such as insurance cards and waivers), tournament information, and messages ("Your Content").
By submitting Your Content, you grant Tourney HQ a worldwide, non-exclusive, royalty-free, sublicensable license to host, store, reproduce, display, and transmit Your Content solely for the purpose of operating, providing, and improving the Platform (for example, displaying a roster to a Tournament Director or rendering a bracket to viewers). This license terminates when you delete Your Content or your account, except to the extent we are required to retain copies for legal, regulatory, or backup purposes.
You represent and warrant that you have all rights necessary to grant this license and that Your Content does not infringe the intellectual property, privacy, publicity, or other rights of any third party.
Payments, Fees & Refunds
Tournament Directors set their own entry fees. When a coach registers a team and pays an entry fee, payment is processed by our third-party payment processor, Stripe, Inc. ("Stripe"). Your use of payment functionality is also subject to Stripe's terms (https://stripe.com/legal) and privacy policy (https://stripe.com/privacy). Tourney HQ does not store full payment card numbers; Stripe is a PCI-DSS compliant processor.
Tourney HQ charges a platform service fee of 1% of the base entry fee set by the Tournament Director. This platform fee, together with the payment processor's transaction fees, is added on top of the entry fee at checkout and paid by the coach, so that the Tournament Director receives the full base entry fee they set. The total amount, including all fees, is clearly itemized and displayed to the coach before payment is completed. All fees are non-refundable except as expressly required by law or as set by the Tournament Director's published refund policy.
Refunds: each Tournament Director establishes their own refund and cancellation policy for their tournament. Refund disputes between coaches and Tournament Directors must be resolved between those parties. Tourney HQ may, at its discretion, assist in mediating such disputes but is not a party to and not responsible for the underlying transaction.
If a charge is reversed via chargeback or successful payment dispute, we may deduct the disputed amount, plus any associated fees, from your account balance or future payouts.
Tournament Conduct & Sportsmanship
All users agree to conduct themselves in a respectful, sportsmanlike manner while using the Platform and at any in-person events organized through it. Harassment, discrimination, threats, or violence directed at other users, tournament staff, officials, or participants will not be tolerated.
Tournament Directors are responsible for enforcing fair play, eligibility rules (such as age divisions and roster limits), and any sport-specific rules at their events. Tourney HQ does not officiate or supervise tournament play.
To report a violation of these Terms or to flag inappropriate content, contact us at support@tourneyhq.ai. We aim to respond within 5 business days.
Intellectual Property
The Platform, including its software, design, text, graphics, logos, icons, and the Tourney HQ name and brand, is owned by Tourney HQ or its licensors and is protected by copyright, trademark, and other intellectual property laws. Except for the limited rights granted to you under these Terms, no rights are transferred to you.
You may not copy, modify, distribute, sell, or lease any part of the Platform without our prior written consent.
Privacy Policy
This section describes how we collect, use, and share information.
What we collect: (a) account information you provide during registration (name, email, username, role, team name, contact information for organizers); (b) content you upload (rosters, photographs, documents such as insurance cards and waivers); (c) payment metadata returned by Stripe (such as the last four digits and expiry of your card and a transaction ID — Tourney HQ does not store your full payment card details); (d) limited technical information about your device and connection (IP address, device type, app version) used to operate and secure the Platform.
How we use it: to operate and provide the Platform, to process payments, to communicate with you about your account or tournaments, to comply with legal obligations, to detect and prevent fraud or abuse, and to improve the Platform.
Who we share with: (a) Stripe, our payment processor; (b) Amazon Web Services, our hosting and storage provider; (c) other users to the limited extent required to operate the Platform (for example, a Tournament Director can see the rosters and uploaded documents for teams registered in their tournament); (d) law enforcement or other parties when required by valid legal process or to protect our rights or the safety of users. We do not sell your personal information to third parties for advertising.
Data location & retention: data is stored on infrastructure operated by Amazon Web Services in the United States. We retain your account information and content for as long as your account is active, plus a reasonable period for backup and legal compliance. You may request deletion of your account at any time through the Options menu in the Platform or by emailing privacy@tourneyhq.ai.
Children's Privacy & Youth Sports: the Platform is not directed to children under 13, and we do not knowingly collect personal information from children under 13. Tournament rosters and uploaded documents may include personal information about minors who are not themselves users of the Platform; the Coach uploading such information represents that they have obtained the necessary consents from each minor's parent or legal guardian to do so. Parents who believe their child's information has been provided to the Platform without consent may contact privacy@tourneyhq.ai to request deletion.
Your Rights: depending on where you live, you may have the right to access, correct, delete, or port your personal information, or to object to certain uses of it. To exercise these rights, contact us at privacy@tourneyhq.ai.
Cookies & Local Storage: the website uses cookies and similar technologies to keep you logged in and to remember your preferences. You can disable cookies in your browser, but parts of the Platform may not function correctly without them.

Third-Party Services
The Platform integrates with third-party services to provide its functionality, including Stripe (payment processing) and Amazon Web Services (hosting and storage). Your use of features provided by these services is also subject to those providers' own terms and privacy policies. We are not responsible for the practices of these third parties.
The Platform may contain links to external websites. We are not responsible for the content or practices of those websites.
Disclaimers
THE PLATFORM IS PROVIDED "AS IS" AND "AS AVAILABLE" WITHOUT WARRANTIES OF ANY KIND, WHETHER EXPRESS, IMPLIED, OR STATUTORY, INCLUDING WITHOUT LIMITATION ANY IMPLIED WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, NON-INFRINGEMENT, OR THAT THE PLATFORM WILL BE UNINTERRUPTED, ERROR-FREE, OR SECURE.
Tourney HQ does not endorse, sponsor, or guarantee any tournament listed on the Platform. Decisions about whether to register for, attend, or participate in any tournament are entirely your own.
Tourney HQ is a technology platform that connects Tournament Directors, coaches, and viewers. We do not act as a tournament operator, sanctioning body, agent, or insurer. Any in-person events organized through the Platform are the sole responsibility of the Tournament Director hosting them.
Limitation of Liability
TO THE MAXIMUM EXTENT PERMITTED BY LAW, IN NO EVENT WILL TOURNEY HQ OR ITS AFFILIATES, OFFICERS, EMPLOYEES, OR AGENTS BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, INCLUDING WITHOUT LIMITATION DAMAGES FOR LOSS OF PROFITS, GOODWILL, USE, DATA, OR OTHER INTANGIBLE LOSSES, ARISING OUT OF OR IN CONNECTION WITH YOUR USE OF, OR INABILITY TO USE, THE PLATFORM.
OUR TOTAL CUMULATIVE LIABILITY TO YOU FOR ANY CLAIM ARISING OUT OF OR RELATED TO THESE TERMS OR THE PLATFORM IS LIMITED TO THE GREATER OF (A) THE TOTAL AMOUNT OF FEES YOU PAID TO TOURNEY HQ IN THE TWELVE (12) MONTHS IMMEDIATELY PRECEDING THE EVENT GIVING RISE TO THE CLAIM, OR (B) ONE HUNDRED U.S. DOLLARS ($100).
Some jurisdictions do not allow the limitation or exclusion of liability for incidental or consequential damages, so the above limitation may not apply to you in full.
Indemnification
You agree to indemnify, defend, and hold harmless Tourney HQ and its affiliates, officers, employees, and agents from and against any claims, liabilities, damages, losses, and expenses (including reasonable attorneys' fees) arising out of or in any way connected with: (a) your access to or use of the Platform; (b) Your Content; (c) your violation of these Terms; (d) your violation of any third-party right, including any intellectual property, privacy, or publicity right; or (e) your violation of any applicable law or regulation.
Termination
You may stop using the Platform at any time and may delete your account from the Options menu. Account deletion permanently removes your account information, tournaments, team registrations, and uploaded documents from active use of the Platform, subject to limited retention for backups and legal compliance.
We may suspend or terminate your account, in whole or in part, at any time and without notice, if we believe in our sole discretion that you have violated these Terms, that your conduct may harm other users or the Platform, or that we are required to do so by law.
Sections of these Terms that by their nature should survive termination (including ownership provisions, warranty disclaimers, limitations of liability, and indemnification) will survive.
Governing Law & Dispute Resolution
These Terms are governed by and construed in accordance with the laws of the Commonwealth of Virginia, without regard to its conflict of laws provisions.
You agree to first attempt to resolve any dispute informally by contacting us at legal@tourneyhq.ai. If we cannot resolve the dispute within 60 days, either party may pursue available legal remedies in accordance with this section.
Apple App Store Additional Terms
If you downloaded the Tourney HQ application from the Apple App Store, the following additional terms apply. You acknowledge that these Terms are between you and Tourney HQ, and not with Apple. Apple is not responsible for the application or its content. Apple has no obligation to provide any maintenance or support services for the application.
In the event of any failure of the application to conform to any applicable warranty, you may notify Apple, and Apple will refund the purchase price (if any) you paid for the application. To the maximum extent permitted by applicable law, Apple has no other warranty obligation whatsoever with respect to the application.
Apple is not responsible for addressing any claims by you or any third party relating to the application or your possession or use of it, including product liability claims, consumer protection claims, or claims arising under privacy or data protection law.
In the event of any third-party claim that the application or your use of it infringes that third party's intellectual property rights, Tourney HQ, not Apple, will be solely responsible for the investigation, defense, settlement, and discharge of any such claim.
You represent that you are not located in a country subject to a U.S. Government embargo, and that you are not listed on any U.S. Government list of prohibited or restricted parties.
Apple and Apple's subsidiaries are third-party beneficiaries of these Terms, and upon your acceptance Apple will have the right (and will be deemed to have accepted the right) to enforce these Terms against you.
Changes to These Terms
We may update these Terms from time to time. If we make a change we consider material, we will notify you (for example, by email or by an in-app notice) before the change takes effect. Your continued use of the Platform after the effective date of the updated Terms constitutes your acceptance of the updated Terms.
The "Last updated" date at the top of this document indicates when the Terms were most recently revised.
